As the holiday season approaches and a new year lies just around the corner, one may be left to wonder what the future holds for the Twin Cities' event scene. From Christmas parties and winter-themed fashion shows to New Year's Eve bashes, it seems everyone's way of beating Seasonal Affective Disorder is by jaunting off to some warm affair, cocktails and mukluks in tow. But what gives an event that certain je ne sais quoi? How does one plan a singular fete that makes guests not only want to attend but left wowed at the finale? Is it the décor, the guest list, a great PR, is it fate? Or is it something more groomed? Is there an art to event planning?
From grassroots shindigs to highbrow hobnobbing, I talked with a few of the Twin Cities' finest event planners to get an insider's perspective, advice and banter on “the art of event planning.”
First Things First...
First off, when planning an event, define goals and brainstorm themes so that everyone involved is on the same page. Cohesiveness will shine through in your audience's perspective.
“There are 2 first steps – defining the client's goals, ideas and theme and then viewing the venue/location to get inspiration from there. Integrating the venue is key when drafting good design.” -Laura Mullen, president & Lead Event Designer of Laura Mullen Event Design.
“We typically brainstorm with a number of staff members to come up with what we want the overall look and feel of the event to be. In addition to our event department, we like to get input from sales, edit and our associate publishers to make sure each event falls within the METRO mission. Once venues are nailed down, we determine what we will need to get to enhance the look of the venue – lighting, audio visual and décor.” - Amanda Peterson, events and promotions manager of Tiger Oak Publications, Metro Magazine.
“The beginning stages of planning are usually spent putting together a team of people with whom you'd like to collaborate with, piecing it together so that the people you're pulling into the planning process are bringing with them their own strengths/ networks that may be in an area that's not necessarily your forte.” - Matt Perkins, Perkins Production, marketing coordinator at MPR, former booking manager/ promotions for Nomad World Pub.
Wallflowers Not Included...
Keeping guests comfortable, engaged and stimulated is über important. After all, your guests are the ones who will be blogging, tweeting and Facebooking about your event both pre and post. Their opinion is paramount. The best way to get those shy, wallflowers away from dark corners is by making the light irresistible. Some of the most delightful events seem to almost cater to the ADD crowd. Photobooths, dancing, craft activities, even just a cash bar are lively ways to keep people moving and socializing.
“I love creating little vignettes guests come across as they make their way through the party...Once the event is pretty thoroughly thought out, I do this exercise where I visualize every step a guest will be making that day, from the parking lot to the end of the evening, to make sure we're keeping them both entertained, informed and at ease.” - Laura Mullen.
“I really appreciate and admire events that make me feel like I'm experiencing something new. Whether it be taking over an off the beaten path warehouse and recording studio, showcasing up and coming artists, or collaborating with a bunch of artistic mediums and presenting them all together in one space...all of these elements I hope lend themselves to creating something fresh and new that you can't experience on a daily basis around town.” - Matt Perkins.
“I was trained as an architect so I've spent a lot of time thinking about where people come together. What I'm more interested in lately is why people come together...When you give people good reasons to leave the house, you're giving them an opportunity to build community. Often times this involves dancing and drinking, but it can also involve making something (art, food, etc.), or sharing something (a skill, a passion, an idea).” - Colin Kloecker, co-founder Solutions Twin Cities, promoter West Bank Social Center.
To Swag or Not to Swag...
You know the saying, “to give is better that to receive.” This especially applies when it comes to throwing an event. Gift bags, party favors, souvenirs, swag – all of these perks, if done right, can be more than just party fads, but smart marketing tools that will leave your party (and company) fresh in the minds of all who attended. Just don't be stingy!
“I see a lot of groups skimping on the party elements to save cost or raise more for their group and it ends up seeming low-budget or feeling boring – that's a real fast way to not have guests or sponsors in a few years. I typically dislike giveaways unless they are really creative and bring home the theme. Otherwise we just see a lot of waste at the end of the night. I was the first eco-friendly event designer in Minnesota and I tend to do everything I can to avoid useless waste at my events.” - Laura Mullen.
“I'm not huge in the gift bag trend and don't see much benefit in them unless they contain a couple high-end items that are of some value. Little swag items and knick knacks often get left behind and are hardly memorable. Photobooths are classic and are an easy souvenir to take away from the event.” - Matt Perkins.
Au Fait Ambiance...
Party décor is a drug best used in moderation. Go overboard and you'll find yourself on a one-way course down tacky lane. Skimp and you just may have a blasé look and a group of disenchanted guests on your hands. Remember to keep it simple, use your space wisely, and always add creativity and a little flair of imagination.
“Décor not based on the surrounding – like an overly modern purple design in a subtle, natural-looking venue – seems like a waste or that the planners didn't research long enough to find the perfect fit. The venue elements should be an integrated part of the décor – it's cheaper that way too!” - Laura Mullen.
When it comes to atmosphere, silence isn't golden; it's a total party faux pas. Thankfully, due to the invention of that marvelous personal tunes device – the iPod – creating mood music is as easy as hooking up your pod to a speaker system and pushing play. Compiling a cute shuffle mix the night before is a great way to keep lo-fi beats flowing coherently all night and set ambiance.
“I think sound is key to a party – even just background music piped in. I hate walking into an event and trying to interact with new people and there is dead silence in-between conversations – uncomfortable! Music is so easy with the iPod and even a cheap A/V system to rent, so all parties should have some sound going the whole time!” - Laura Mullen.
For high-end events like runway shows and restaurant openings, hiring a DJ is your best bet. Whatever angle you choose, just get some music going!
Shamelessly Plug...
When it comes to events, promoting is key. Feel free to post and re-post at will and encourage your social savvy friends to do the same. If you're offering incentives or discounts make sure peeps are aware. We're still in a recession and everyone loves a good party perk.
“Incentives and other add on value items become a huge influence on how people perceive your event and what they get in return. A $20 cover is definitely more appealing if you know that all of the drinks at the event are free or hugely discounted. It becomes a game in how you price your event and all the perks you get when you attend, especially in the down economy where people don't want to pay for anything.” - Matt Perkins.
As l'étoile editor and chief, Kate Iverson, can tell you, there's nothing more frustrating then trying to write about an event with only a poorly laid out, scanty press release or Facebook invite to go off. To create an event that's buzz-worthy you must first make it buzz-capable. Make sure invites and releases go out at least two weeks in advance – not day of for god's sake! - and fill them with general info, a snappy description and an image creditable enough to be re-posted. Yes, aesthetics – even in event invites – are something people notice. A witty, eye-catching invite can be just the ticket to sway a party-goer otherwise on the fence.
Event planners, party throwers and social savants, if you follow these guidelines we guarantee your party with be the talk of the town for all the right reasons and the future of TC events will continue to be fresh, innovative and filled with pleasant surprises. Happy holidays and make sure to party like it's 2010!
Stylin' Twin Citizens flocked to Blacklist Vintage this past Friday to sip champagne, nibble cookies, bop to beats by DJs Double Trouble, and score deals on holiday party duds! A good time was had by all. Our pal Chase Turner caught the action!
Last Wednesday, Ignite Models Inc., VimLab Entertainment, and W Minneapolis presented their "'Tis the Season to Glitz and Glam" holiday fashion show at the W Minneapolis hotel. l'étoile's very own Fashion Editor Jahna Peloquin styled the show, offering inspiration to men and women alike for dressing fancy this holiday season. We sat runway-side sipping pomegranate-splashed champagne while taking in the show.
Highlights included a five-piece collection by one of our fave local designers George Moskal - complete with hair accessories by Ruby3 - and Elsworth's layered, bow-tied looks for men. The clothing featured had a strong local undercurrent, either coming from a local boutique or a local designer. Clothing and accessories came from women's boutiques Bumbershute (shown with handbags by local designer Christopher Straub), Il Vostro Boutique, and Cliché; MNfashion holiday boutique (George Moskal and Ruby3); local menswear designer Russell Bourrienne; and menswear boutique Elsworth. The upper level of the W was also flocked with trunk shows by Straub, MNfashion, Bourrienne, and Cliché so guests could snab some holiday gifts on the go. All in all, it was quite the glamorous fete!

Found Footage Festival

If one man's trash is another man's treasure, then Nick Prueher and Joe Pickett – masterminds behind the Found Footage Festival – might as well be King Midas. Junkies for audiovisual detritus, Prueher and Pickett have compiled their finest thrift-stored/yard sale/dumpster dived VHSs of yester-year (aka 'the '80s) and made it into a touring roadshow. Their scheduled Minneapolis fest is two shows packed with hilarious clips, instructional videos and skits, including an '80s dating montage of David Cross and a scary intro clip of a Pee-Wee's Playhouse kid's show rip-off starring Kathie Lee Gifford. Each screen is hosted by the creators in-person, providing the audience with witty commentary and obscure observations. And true to their touring style, the curators have also chosen a few videos with roots in the Twin Cities. Here's hoping you burned those embarrassing family videos from '85.
Mix a harpist, a physicist, an artist and performer with nuclear force for a performance and installation that “probe[s] the invisibility of radioactivity and the immortality of plastic.” The opening of this installation of a plastic “ocean” includes 1/2 Life performance excerpts and composer/sound artist/harpist Zeena Parkins. Throughout the installation, artist Emmett Ramstad will be doing some “ocean” sewing. See him make that first stitch. We're kind of confused, but we like it. Through December 19th.
Bonus: Friday brings a physics lecture, artist talk and movie screening, and the closing party next week promises more 1/2 Life performances and a dance party with DJ Wes Winship.

Another amazing show from our very own Russian art mecca. Also known as nesting dolls, Matroshka dolls tell stories about history and politics. The show includes pre-WWII dolls and dolls by master painters. Revel over the intricate detail, the tiniest doll, and maybe take some inspiration from the colorful designs. This show opened in November and runs through January, and you can stop into the museum any day of the week! Check the link below for hours.

Much like those Sour Patch Kids commercials, St. Paul-based artist, DC Ice, knows when to be “sour” and when to be sweet. One of Twin Cities' brightest and most promising young artists, DC's creations extend the umbrella of illustrative art to include such eclectic mediums as paintings, cover art, fashion, toys, 3D pieces and recently a children's book. As her tag line and tonight's show title suggest, her work is often dark and mischievous, but with playful characteristics saturated by whimsical color schemes. Although, the local independent DVD store, Cinema Revolution, is sadly defunct, the CR Society continues to be involved in community activities, including the second annual Dance Film Project – a festival of dance for the camera. Initiated by CR's executive director and indie filmmaker, John Koch, the festival explores the interaction between dance and film.Choreographers and filmmakers team up to create and present original short works of varying themes. The two-day event features 22 collaborations of new work and solo achievements from emerging and established MN artists including “Station,” new work from a couple of our local faves, Jaime Carrera and Tyler Jensen; and “Slap!” by Laura Holway and Ben McGinley.

This second annual benefit for the Midway consists of tables filling the three galleries, and artists lined up to draw live. When the work is completed, the piece will be hung on the wall and for sale for $35. Artists include Andy Ducett, Nick Howard, Scott Stulen, Roxanne Jackson, David Bartley, Pete Driessen, Bethany Kalk, Tynan Kerr, Josie Lewis, Andie Maorol, Miles Mendenhall, Ruben Nusz, and Bruce Tapola -- to name just a few out of the million participating. Artists will draw during three rounds, starting at 6pm, 7pm and 8pm. All sales will benefit education and programming at the gallery. Good will and cheap art! We like!

Tonight's SooVAC fashion show is influenced by such styles as military helmets, lacy sweaters, handmade t-shirts & hoodies and fashion mukluks – perfect for stylish winter wear – and combines rich fabrics and hand embroidered prints to feature one-of-a-kind dresses, casual wear and oh-so elegant hats. Winter fashion as you know it just got all dolled up.
Word associations are personal for everyone, but the associations St. Paul artist Allen Brewer draws in his latest pieces are more than just idiosyncratic – they stem from the unique, subconscious memories of his childhood. Inspired by scrounging through the hundreds of old books he owns, Brewer's new body of work, Remember This For Later, pairs a specific catalog of words to humorous and often dark images and creates an exclusive context and interpretation of the connection. His visually provocative drawings are created with colored pencil on old scrapbook-esque paper and wedding registers from the 1970s, giving the psychological art experience that vintage feel.

It’s been a very good year for Lookbook. The electronic pop duo has long been a l’etoile fave, and with the critically lauded release of their debut full-length Wild at Heart this past fall, they’ve been embraced as the local band to watch of the moment, selling out shows and setting dance floors on fire with with wild abandon. This weekend, the dance floor will be front and center as Maggie Morrison and Grant Cutler celebrate the release of True to Form (Remix EP), on local electronic label, Nytetraxx Records. The band’s biggest hit so far, “True to Form” gets the full treatment on three of the E.P.’s tracks from the likes of local electronic hero Gigamesh and buzzworthy UK italo duo Heartbreak, somehow making the song even more dancegasmic. The most interesting remixes, though, are “King of Con (Mux Mool Remix)” and “I’ve Seen This Coming (Skullbuster Remix),” both originally found on 2008 Lookbook EP . Local producer Mux Mool adds a surprising trip-hop, R&B flavor on the moody “King of Con,” while DJ Skullbuster twists and warps “I’ve Seen This Coming” with lo-fi blips and dissonant percussion.

Lets Dance has quickly become one of Minneapolis' best kept secrets. Once a month (every second Saturday) The Red Stag removes its supper club attire and plays host to a knock down, drag out dance party. Millions Billions, Monsterbrusten and a revolving line up of djs keep the people moving to old, new and future dancefloor classics. Attitudes are checked at the door for an event that, rightfully so, boasts a "disproportionate amount of beautiful ladies." This month is the holiday edition, get dressed and get there. We're crossing our fingers for rampant mistletoe!
SUNDAY MUSIC PICK: MIKE MICTLAN Exerpted from our new LOL/OMG Blog!
The new video for "Prizefight" by Doomtree cohort Mike Mictlan is a hot item circulatin' the internetz locally and beyond. Word has it that Mictlan's new vid snagged a top slot on Myspace's front page. Pretty sweet!
The rapper remixes his "prized" track on the Hand Over Fist EP and partners it with some stellar visuals with a little help from director and local graphic designer/artist Greg Hubacek, as well as a slew of other talented Twin Cities folks.

This month marks one year of nerdy hi-jinx at Clubhouse Jager! Our weekly sci-fi movie night has become a big hit and we're happy to say we've made many awesome new friends because of it. For the past year, local screen print collectives Squad 19 and Who Made Who have been trading off duties as our official poster-makers for the event, creating amazing, coveted, limited edition screen-printed posters for many of the movies. Tonight's anniversary party is extra special because BOTH collectives will be on-hand to sell posters from past screenings that you might have missed for the bargain price of $10 each. Fill in your nerdy poster collection, or buy some as a holiday gift for a geeky pal! We're also starting EARLY tonight at 9pm with a couple rounds of sci-fi trivia hosted by Kate and Beth from l'etoile. Prizes include bar tabs and a grand prize of just about every poster ever made for JagerCon! Tonight's flick will be 12 Monkeys, and both Squad 19 and Who Made Who will be creating dueling 12 Monkeys posters for the occasion -- which as usual will be FREE and will be doled out after the flick.

Everyone MUST read this interview with New York Times journalist Cintra Wilson in Elle. God, I love this woman. She's one of my favorite fashion writers of all time.
Eventually I'll get around to hosting that dinner party with Cintra, Cathy Horyn, Suzy Menkes, Grace Coddington, the late great Isabella Blow, Hamish Bowles, Robin Givhan, the late Diana Vreeland, Carine Roitfeld, Nicola Formichetti and Jahna Peloquin. Emma Berg, Kate Iverson and Marina Maric are totally invited as well.
